I Put an AI in Charge of Onboarding — and It Did a Better Job Than HR

The first time I hired someone, I thought onboarding would be straightforward.

“Just show them the ropes,” I told myself. Hand them the SOPs, walk them through our systems, maybe have them shadow me for a week or two. How hard could it be?

Pretty hard, as it turned out.

Onboarding ate up hours of my time. I’d repeat the same explanations over and over. The process was different every time — depending on my mood, my workload, or what I remembered to cover. And when I finally let them loose, I’d inevitably hear:

“Oh, I didn’t know that was part of my role.”

  3. They don’t scale. What works for one new hire doesn’t work for ten. Or a hundred.

Even big companies with HR teams struggle to keep onboarding streamlined. For smaller businesses, it’s even harder.

I needed a solution that would:

  • Take the load off my shoulders
  • Ensure consistency across hires
  • Deliver training that people would actually retain

How I Built an Onboarding Course with AI

From my dashboard, I clicked “Create Course.” That opened the EVA Chat Interface, where I set my preferences and described the onboarding program I wanted.

Then I had two options:

  • Auto Generation: let EVA create the course automatically
  • Course Builder: manually customize each part

For my first try, I went with Auto Generation.

And here’s the wild part: within minutes, EVA built me a complete onboarding course. It included:

  • Course structure with modules and lessons
  • Slide content with bullet points
  • Quizzes for comprehension checks
  • Even a certification at the end

When it was ready, it appeared in my “In Review” tab. I gave it a quick read-through, clicked Publish Course, and just like that — our new training program was live.

The Surprising Upside

I expected EVA to save me time. What I didn’t expect was that it would actually improve the quality of training.

Here’s why:

  • Consistency: Every new hire now gets the exact same structured program. No skipped steps, no guesswork.
  • Engagement: Instead of flipping through PDFs, they interact with quizzes and checkpoints.
  • Scalability: Whether we onboard one person or twenty, the system doesn’t change.

When I Wanted More Control

After seeing how well Auto Generation worked, I tried EVA Pro’s Course Builder mode for a more customized onboarding flow.

That experience gave me full control, step by step:

  1. Edit course titles and structure (with the option to “Regenerate with EVA”).
  2. Refine or regenerate bullet points for slides.
  3. Edit course transcripts, including pronunciation with a built-in editor.
  4. Adjust quizzes — either regenerate the entire quiz or tweak single questions.
  5. Finalize media: voices, images, and more.

Once everything was ready, I clicked Complete Course Builder and published it.

The best part? I could choose how much or how little I wanted AI to do for me.

Beyond Onboarding

Onboarding was just the start. Once I got comfortable, I began uploading other SOPs and turning them into training modules.

  • A safety training course for new hires in operations
  • A customer service playbook for support reps
  • Department-specific training for different teams

From the dashboard, I could even assign courses directly to individuals or whole departments — and track completions in real time.

Suddenly, EVA wasn’t just my onboarding assistant. It was my training department.

What This Means for HR

I want to be clear: AI isn’t replacing HR. It’s empowering them.

HR leaders shouldn’t spend their energy repeating basic workflows or scrambling to update outdated training slides. Their time is better spent on culture, engagement, and connection — the human side of work that no AI can replace.

Final Thoughts

I started this experiment thinking AI might make onboarding faster. I didn’t expect it to make onboarding better.
